Rising 310 m, the Varso Tower is the tallest skyscraper in the European Union.

And with a surface area of 144,000 m2 , the Varso Place complex is also the largest office scheme in SPIE Building Solutions’ Polish portfolio. As facilities manager, SPIE’s role is to maintain an exceptionally comfortable, eco-friendly and safe environment in line with BREEAM Outstanding and WELL Gold standards — a daily challenge!

A strong working relationship was key to winning this flagship project.

As Martyna Topyła, Project Manager, explains, “Our team had built huge trust with the client and proved we had the necessary skills, even before the call for tender came.” The building owner, HB Reavis, had already assigned SPIE to manage other parts of the complex, Varso 1 and Varso 2, in 2019. “These contracts created awareness of our high-level services,” adds Martyna.

In total, 15 SPIE employees work on site for the Varso complex, including two technical managers, two team leaders, one specialist and nine technicians, with five of them assigned to the Varso Tower. Similar to other facilities management contracts they’ve handled, they take care of all of the building’s installations (HVAC, fire safety, electricity, etc.) with the exception of those that are still under guarantee from the contractors that installed them. In these cases, SPIE monitors this equipment and coordinates with the companies responsible for their maintenance, and handles risky problems that need immediate attention when called to do so. For Martyna, working on a skyscraper isn’t too dissimilar from working on any other building, except there is more work and responsibility. Even transporting materials can be tricky.

Objective : maintain a comfortable, ecological and safe working environment

Another challenge with Varso Tower is meeting tenants’ expectations for the highest standard of service. While the contract stipulates a 30-minute maximum response time, in practice the team must respond immediately to keep tenants satisfied. The SPIE team is on site Monday to Friday from 7am to 7pm, with a hotline at other times.

Another major task is achieving cost savings. “In times of inflation, it’s tricky to generate these extra savings if a building is already designed to be energy efficient,” says Martyna, “so we’re trying to find small saving opportunities in our daily tasks. For example, we adjust the operating parameters of main devices on a daily basis, such as chillers, air handling units, and even lighting operating parameters.”

In addition, at the bidding stage, SPIE suggested using a single IT system called Singu to centralise tenant requests and track the response time, while offering a custom feature, monitoring access to the building’s car park.

THE EU’S HIGHEST TOWER

In 2022, the Varso Tower became the highest skyscraper in the European Union. With 53 floors reaching up 310 m, the tower beats the previous record holder, Commerzbank Tower in Frankfurt, by 51 m. Slightly taller than The Shard in London, it is also the tallest building in Europe, outside Russia.

“All eyes are on Varso Tower, so there’s lots of pressure to perform.” Still, the project is a great calling card for SPIE. As Martyna says, “It’s impossible not to have green buildings in our portfolio to be competitive.” When it comes to the Polish market, SPIE has a great track record, both in certified buildings and skyscrapers, having managed the Rondo 1 flagship tower in Warsaw in the past. SPIE’s stable financial position and steady growth, both organically and through acquisitions, is another plus. 

“It’s a big success,” concludes Martyna. “As a young project manager, I’m proud SPIE has appointed me to manage the EU’s tallest building. I feel appreciated! Every day comes with a new story: when you cooperate with tenants, you always face multiple challenges. But the team is amazing, doing the job every day, building contacts with tenants and clients. We’re masters of providing service, keeping everything running smoothly!”
